The most significant new feature in Version 4.2g is the new Security Access
setting for Incident Reports and Narratives. In order to add the Security Status
field on the Incident Report dialog, the two MICR Status fields had to be combined into a single color-coded
field. The Security Status field is also color-coded. Like the Incident Status field, the
Security Status field is a required field, and separate System Parameters
exist for (limiting) Access to both Status fields. By default, Clerks (with Access Level 2) don't have access to the new
Security Status fields. The following picture shows the new Incident Report dialog layout:

On the Narrative dialog, the Security Status field is located between the
Narrative Title and the Date Completed fields:

There are currently five separate Security Settings for Incidents and Narratives. The Original Narrative will share the
same Security Status as the entire Incident Report, while Supplemental Narratives can each have a separate Security Status.
Applying a Security Status other than "No Restrictions / Public", the default setting, will reduce access
to the Incident or Narrative by users with specific Access Levels. There are separate Access Level settings for each of the
Security Status codes with respect to: Viewing, Printing/EMailing, and Editing.
The default settings rank the Security Status Restrictions in the following order, which is also reflected by the display
color of the corresponding Security Status field:
No Restrictions / Public
Restricted / Internal
Expunged
Sealed (by Court)
Confidential
The various Security Status Access settings can be modified in the System Parameter
maintenance. If a user doesn't have access to Edit, Print, EMail,
PreView, or even View an Incident Report, a message similar to the following will be shown:

If a user doesn't have access to even View an Incident Report, only the most basic information will be
displayed, while Locations, Names and other details are not shown, and the Narrative text is replaced by:
Incident Report is marked as "[Security Level]"!

Note: Only Incident Reports (and Narratives) with a Security Status of "No Restrictions / Public"
will be shared in any future Data Sharing Initiatives.

The MICR dialog will show the MICR Edit Check Status in a color-coded field, similar to the Incident Report.
If the MICR data passed all EJS OnSite MICR Edit Checks, the field will be Green but if there were any MICR
errors, the field will be Red. On the Incident Report, the MICR Status field might also be shown with the
default background color (which is usually White), to indicate non-MICR-reportable Incident Reports.

The program contains all MICR Changes
that have been made by the MSP CRS during the
last few months, including all new and changed Arrest Codes,
new Location/Site and Property Class Codes, as well as all of the
other Edit Checks and Errors that are also
listed in the MICR Crime Reporting Handbook
and MICR Specification Handbook.
It is now also possible to report "Window Updates" to MICR. The "Window Update" Action Code
(Data Element 1) can be used to report New Arrests, New Recovered Property Items, or the
Exceptional Clearance of Incident Reports that are dated Prior to the MICR Base Date
(January 1 of the previous Calendar Year) or the Department's MICR Start Date.
In addition, small departments, which might not have any MICR-reportable Incident Reports during an entire month, may now
report a "No Criminal Data Record" for such months. This should only be done in response to a request from
the MSP. To create a "No Criminal Data Record" for a particular month, select the option from the MICR
Records Management dialog. All "No Criminal Data Records" have an Incident Report Number of "0" in
the selected Year, as shown in the following screen shot:

Selecting the "Add No Data Record for Month" menu option, or the button, will show the following dialog where the specific Month and
Year can be selected.

Only one "No Criminal Data Record" should be created for any given month, and after sending the record to the
MSP, there seems to be no way to delete it from the MSP database. But "No Criminal Data Records" can be deleted
at any time from the department's database, using the button
in the MICR Records Management dialog.

The EJS OnSite Spell Checker has been modified and can now be used on all Operating Systems without problems.
But an entirely new and much more sophisticated Spell Checker has also been introduced. If it is installed and
enabled on a Workstation, it will completely replace the legacy Spell Checker. The Spell Checker can be used in
every data entry field, including the Narratives. The following is a screen shot of the new Spell Checker in
action:

The new Spell Checker uses department-wide default Dictionaries and Lexicons that are installed in the EJS
OnSite Programs directory as well as Workstation-specific "User" Dictionaries, which are located in each Workstation's startup
directory. Any new words that a user adds are saved in the Workstation-specific "User" Dictionaries. In addition, each
Workstation has its separate Setup Options, which can be changed and saved by using the
button. The options shown in the following screen shot are
the recommended settings for best performance, and need to be set separately on each workstation:

Selecting the button on either of those dialogs will give
additional information about all possible settings and features of the new Spell Checker.
